How Wistia Helps Tomorrow.io’s Small Video Team Work Faster and Smarter

When space tech company Tomorrow.io adopted a video-first approach some years ago, it was anything but smooth sailing.

The small team was juggling a patchwork of tools for hosting, organizing, distributing, and tracking videos and webinars, and every one of those tools brought its own headache. File sharing was insecure, files were too big and slow to load, hosting webinars was a logistical nightmare, campaigns took forever to launch, content got lost, and finding existing footage was a manual slog.

They needed a centralized system that could automate most of their video and webinar tasks and let them share videos without opening up the company drive to the world, so they dropped every other tool and switched to Wistia.

The results speak for themselves:

  • Campaign launches went from a few weeks to just four or five days.
  • External video sharing is no longer a security risk.
  • Webinars have gone from one-off events to a driver of revenue.

Today, almost five years later, Wistia is still helping AI Content and Video Strategist Madison Sofield, Senior AI Marketing Manager Ruth Favela, and the rest of their small team run Tomorrow.io’s entire video and webinar strategy without burning out.

Quick and secure file sharing

Tomorrow.io’s team started out using Google Drive to share videos with freelancers, media partners, and prospects, but that came with issues. Uploading large files took forever and Ruth had to get approval from the admin of the Google Drive account every time she wanted to share a file. Plus, a Google Drive link came with the risk of exposing the broader internal drive, which was not an option for a company handling government contracts.

Wistia’s share screen with “Invited users” selected

Wistia passed Tomorrow.io’s strict security checks and gave Ruth a way to share videos that’s actually quick and secure. She can send links in just a few clicks without anyone’s sign-off, she can customize who accesses each video, and every Wistia link opens just the one video with nothing else behind it.

We’ve run Wistia through our procurement policy and we know that this is a tool that has been okayed by our teams and can be used for all of these different processes, and it’s not going to slow us down through any of them.

Simple, centralized organization

Madison and their third-party contractor use several AI tools to create and edit videos, and every version of a project—raw footage, AI-generated clips, and everything in between—ends up in the same Wistia folder instead of scattered across different laptops and tools.

That same folder holds every version along the way. If a stakeholder prefers an earlier cut, Madison can pull it up instead of starting over, and both internal teams and external partners can weigh in before a video gets finalized.

Everything is searchable too. When a sales rep asks, “Where is that JetBlue hail story?” Madison doesn’t waste hours digging through old files on her laptop. She points them to their Wistia content library, where the rep can find it in seconds.

Wistia protects the time investment you put into video. If you have a lean team, it’s the easiest way to make sure the work doesn’t go to waste.

Streamlined webinar workflow

Before Wistia, hosting a live event meant juggling three platforms (including YouTube Live), along with clunky RTMP streaming URLs. Sometimes the event didn’t even go live. And if it did, there was no good way to track who showed up.

Now, Wistia lets Ruth run what she calls “an entire demand gen campaign” without ever leaving the platform. She sets up the registration page, captures emails, and hosts the pre-recorded webinar. Once it wraps, she pulls analytics on who registered and who showed up. Then she captions the recording, cuts it into clips, and shares it.

One thing that I can now do with Wistia that I wasn’t able to do before is run an entire demand gen campaign with a video platform, end to end, and track the entire thing in that single platform.

Easy distribution and performance tracking

Tomorrow.io publishes a lot of videos, so sharing has to stay simple. With Wistia, there’s no jumping through IT hoops or waiting on web developers to get a video live. Madison can just copy an embed code and paste it directly on a page or blog post, where it renders as a fully embedded video.

The team also uses Wistia’s video collections feature to keep an up-to-date library of videos on their website, also without any coding required.

Sharing to social depends on the platform. Wistia connects directly to YouTube, so Madison can publish there without leaving the platform. For LinkedIn, Instagram, and other channels, she either shares a Wistia link, which plays like a preview and sends people to the full video, or downloads the file from Wistia to upload natively.

With a more streamlined sharing process, Tomorrow.io can show up consistently across every channel. That has helped them grow their YouTube channel to 1,000 subscribers.

It’s also just as simple to see how their videos are performing. Before the team switched to Wistia, Madison had to check each social platform for performance data. Now, since the blog embed and social links all trace back to the same Wistia video, she can track combined performance in one place.

I don’t know how I’d do my job without Wistia. Where would things live? How would I share them with my team for edits and iterations? How would I track performance externally?

Reliable support for a lean team

Madison and Ruth get quick answers from Wistia’s support team when something comes up, and they hear about new features directly instead of stumbling onto them later. Even now, they’ll occasionally find something in the Wistia help center they didn’t know existed.

For a team this small, that kind of support is not only a nice-to-have, but also part of what keeps the whole operation running without adding headcount.

Working with Wistia has always been a really positive relationship and they’ve always been very supportive.
