Webinars give you some of the clearest engagement signals in your marketing mix: who showed up, how long they watched, what they clicked, which polls they answered, and what they asked.
Most marketers spend enormous effort piecing together buyer intent from scattered sources. Webinars hand you that data directly, which is what makes them such a valuable marketing tool. The problem is that most webinar platforms only scratch the surface by giving you attendance rates and not much else.
But when you host webinars on Wistia, you get granular data on exactly how each attendee engaged with your event. And you can have all that data flow to your customer relationship management (CRM) platform in real time and turn it into smarter follow-ups, warmer sales conversations, and a clearer picture of what’s actually driving results.
HubSpot is one of the most popular CRMs out there, so we wanted to show you what this looks like in practice. Our Senior Director of Product Marketing Elise Beck hosted a webinar with HubSpot’s Senior Product Manager Maggie Philbin to show just how much you can do with Wistia webinar data once it lands in HubSpot. Here’s what they covered.
Find your most interested leads
Wistia shows you exactly how long each attendee stuck around, and that watch time tells you a lot about how interested they were. It’s a stronger signal for your lead scoring than attendance alone.
Maggie turns that watch time into three simple thresholds: low engagement, moderate engagement, and strong engagement. The exact point values are up to you, but the goal is to make your lead scoring reflect real behavior.
To get this working in HubSpot, create an engagement or combined score based on watch time. HubSpot’s lead scoring doc walks you through the full setup, and once it’s built, the watch time data flows in automatically.
For even more context on how interested your attendees were, look at Wistia’s focused attendee data. It shows you when and how long each attendee had the webinar tab open in their browser, so you can tell whether they were actively watching or just half-listening in the background.
Flag the right attendees for your sales team
Not every attendee is worth a follow-up call, and Wistia helps you spot the ones who are. It captures high-intent actions like questions asked, calls to action clicked, and watch time, then sends those signals to HubSpot, where they can trigger an alert the moment someone shows real interest.
That means your sales team doesn’t have to guess who to follow up with or dig through webinar reports to find out. They get a warm lead with context already attached: what the attendee watched, how long they stayed, and what they asked or clicked.
See how Maggie turns those signals into a Slack message, HubSpot task, internal email, and notification to the account owner:
Personalize your follow-up emails
Wistia captures each attendee’s poll answers, so you know exactly what they need help with. This means you don’t have to send everyone the same generic replay email.
If someone says measurement is their biggest challenge, you can send them reporting content. If someone says sales follow-up is the problem, you can send them a workflow for real-time rep alerts. It’s a much better way to keep the conversation going after the event, instead of sending a generic recap that most people delete without opening.
HubSpot makes this easy to act on because it lets you use poll answers as a personalization token in the email copy. You just need to build a workflow using Wistia poll response events, then use custom tokens to pull the answer straight into the email.
Turn your recording into clips sales reps can send within 24 hours
Poll answers aren’t the only way to personalize a follow-up. A clip from a relevant part of the webinar is a great way to make that follow-up even more personal. The problem is that pulling the right clip usually takes time, and by the time it’s ready, the webinar isn’t fresh in the attendee’s mind anymore.
But with Wistia’s AI video editor Remix, you can grab that clip from the recording with a single prompt and have it in a rep’s hands ASAP. You can also use Remix to create highlight reels, social clips, and other video assets.
We did this for our State of Video webinar. We cut the recording into a three-minute follow-up video that covered the best parts, and our sales reps sent it to prospects who didn’t attend live.
Track how attendees move from registration to closed deal
Since your webinar data already lives in HubSpot, you can use it to see the full picture of what happens after someone registers.
In HubSpot’s Customer Journey Analytics, you can build a report that tracks contacts from registration through attending the webinar to becoming a customer, including conversion rates and time between steps.
That report can answer questions like:
- Did webinar attendees convert faster?
- Which webinars influenced opportunities?
- Where did people drop off?
- How long did it take for attendees to become customers?
- Which follow-up paths drove action?
Elise pulled this up using Wistia’s own HubSpot instance, so it’s not just a nice hypothetical. It’s how we look at our own webinar performance too.
These five plays are just the start. There’s a lot more you can do with Wistia webinar data once it’s flowing into HubSpot. Check out five more workflows for finding high-quality leads, setting up automatic notifications, and more.
